ASSISTANT TO THE EXECUTIVE DIRECTOR

The Marine Mammal Center is seeking applicants for the position of ASSISTANT TO THE EXECUTIVE DIRECTOR to provide administrative support for the Office of the Executive Director and to perform office management responsibilities for The Marine Mammal Center. This is a full-time position with very good benefits. Since its founding in 1975, The Marine Mammal Center has moved to the forefront of marine mammal rescue, rehabilitation, release, science, research and education. Because The Center treats more marine mammals than any other institution in the world, its world-class staff of veterinarians and scientists is able to conduct pioneering research that advances our understanding of overall ocean health and its potential impact on humans, from the water we swim in to the food we eat; the Center’s Education Department has reached more than a half million schoolchildren in just its first thirty years.
The incumbent performs a full range of administrative duties including calendar management and phone coverage for the Executive Director, planning and coordinating meetings, budget management, timekeeping and data entry, processing purchase requests, answering and responding to telephone calls from the public. Organizes and maintains the office of the ED, planning his day to day schedule and priorities; communicating with the management team and staff; drafting and preparing official documents; handling highly confidential information; planning and arranging meetings and travel, and supports ED in his contacts with outside organizations.
Works extremely close with the development staff, management group and the Board of Directors on a variety of activities, including arrangements for board meetings, management recordkeeping, and arranging/leading tours for VIPs and donors. Supports Development and ED on the Capital Campaign. Works with GGNRA, and Park Partners, on Marin Headlands issues.
Requires strong communication, analytical, organizational, multi-tasking and problem-solving skills. Also requires flexibility, customer service skills; and proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Three years experience in high-level administrative support functions is required. Requires superior writing skills and ability to meet stringent deadlines.
Previous experience with a not-for-profit Board of Directors, experience working with Razor’s Edge, experience in transcribing from a recording and shorthand (or speedwriting) is preferred.
